Communications

The Communications hub keeps every conversation about a job in one place. It covers two kinds of messaging:

  • External correspondence — threads with clients, owners, vendors, and subcontractors, kept alongside the project they relate to.
  • Internal messaging — private message threads between members of your own organization.

The hub has four areas: Inbox (external threads), New (start an external message), Contacts (the people you correspond with), and Messages (internal team threads).

Who Uses This

Internal Messages are open to every member of your organization, including Field User. External correspondence — the Inbox, Contacts, and starting a new message — is limited to Admin, Project Manager, Foreman, and Accounting roles (and Platform Admin). A Field User who opens the hub sees only the internal Messages area; external client and vendor threads never appear for roles that shouldn’t see them.

Where to Find It

Communications is a group in the left navigation sidebar. Expand it to reach Inbox, New, Contacts, and Messages.

Sending and Managing Messages

Add your contacts

Open Contacts to build your list of clients, vendors, and other outside parties. Add them one at a time with New Contact, or bring an existing list in through Import using the CSV template.

Start an external message

Go to New, pick the contact you’re writing to, add a subject, and write your message. You can tie the thread to a specific project so it’s easy to find later. Send it, and TrueGrade delivers the message to the contact by email.

Follow the thread in your Inbox

Open Inbox to see all external threads. Replies stay attached to the original conversation, so the full back-and-forth with a client or vendor lives in one thread.

Message your own team

Use Messages for internal, organization-only conversations — coordinating a hand-off or asking a colleague a quick question. These threads are visible only to the members included in them.

Keeping client and vendor correspondence in TrueGrade means the conversation stays connected to the project — anyone with access can catch up on what was discussed without digging through personal email.
