Managing Threads

Over the life of a project a thread runs its course, or a message gets sent by mistake. TrueGrade gives you clean ways to wind a conversation down and to tidy up stray messages — without erasing the history you may need later.

Thread Status

Each external thread carries a status so you can tell at a glance where it stands:

  • Awaiting Response — sent, waiting to hear back.
  • Awaiting Ack — waiting for the recipient to acknowledge (see Require Acknowledgement).
  • Overdue — a response or acknowledgement has been outstanding too long.
  • Resolved — the conversation is complete.
  • Archived — set aside; kept for the record but out of the active view.

Winding a Conversation Down

Open a thread to reach these controls in its header:

  • Mark Resolved — the conversation is finished and no further action is needed. The thread stays fully readable; it’s simply marked complete.
  • Archive conversation — move a finished or inactive thread out of your active Inbox while keeping it on the record. Archived threads remain retrievable.
  • Void conversation — set aside a thread that shouldn’t have existed — a test message, or one sent to the wrong person. A reason is required and kept on the record. Once a thread is voided it shows a read-only voided notice. For threads that require acknowledgement, the void control lives in the acknowledgement panel; for every other thread it’s in the header — either way it’s always reachable.

Resolve, archive, and void don’t delete anything. They change how a thread is surfaced, so the underlying record and its history stay intact.

Cleaning Up Individual Messages

Sometimes it’s a single message inside a thread that’s the problem — a duplicate, a test, or something sent in error. You can remove messages one at a time without touching the rest of the conversation:

  • Remove a message — take a single message out of the active view. You’ll be asked for a short reason (for example, “sent by mistake” or “test message”).
  • Remove several at once — select multiple messages and remove them in one action.
  • Switch to the Removed view — toggle between Active and Removed to see what has been taken out of a thread.
  • Restore a message — from the Removed view, bring a message back. The reason it was removed is shown, so you always know why it left the active view.

Removing a message is a reversible tidy-up, not a permanent deletion — anything removed can be restored from the Removed view.
