Expiration Alerts
TrueGrade monitors expiration dates across all compliance documents and sends multi-stage alerts to both your team and the subcontractors themselves.
Default Alert Schedule
Out of the box, alerts fire at:
- 30 days before expiration — early warning, time to request renewal
- 7 days before expiration — urgent warning
- Day of expiration — final notice
- Day after expiration — document marked Expired, subcontractor notified
Customizing Alert Thresholds
Navigate to Compliance → Settings → Expiration Alerts to configure:
- Enable or disable each threshold stage
- Add custom stages (e.g., 60 days for long-lead insurance renewals)
- Remove stages that generate too much noise for your workflow
Alert thresholds apply organization-wide but can be overridden per project.
Who Receives Alerts

|---|---|
| Team alerts | Users with Admin, Project Manager, or Accounting role on the project |
| Subcontractor alerts | The contact email on file for the subcontractor |
You can configure alert delivery via email, Slack, or Microsoft Teams in Administration → Organization Settings → Notification Preferences.
For projects with tight compliance deadlines (such as projects with project-owner-required insurance minimums), add a 60-day threshold to give subcontractors adequate time to renew before a project milestone.
Silencing Alerts
If a subcontractor has submitted a renewal and it’s pending verification, you can suppress alerts temporarily by marking the document as “Renewal Pending.” Alerts resume if the submission is rejected or the renewal hasn’t been verified within 14 days.
Compliance Status Dashboard
The Compliance → Overview dashboard shows the real-time compliance health of all subcontractors on active projects:
- Compliant — all required documents verified and not expiring within 7 days
- Expiring Soon — at least one document expires within 7 days
- Non-Compliant — at least one required document is expired or missing
Filter by project, document type, or status to find exactly who needs attention.
