Contacts
Contacts are the outside people you correspond with — clients, owners, architects, vendors, and subcontractors. Your contact directory is what you pick from when composing an external message, so keeping it current makes everything else in Communications faster.
The Contacts segment of the Communications hub is available to Admin, Project Manager, Foreman, and Accounting roles (and Platform Admin).
Adding Contacts
Add one at a time
Use New Contact to add a single person with their details. You can also add a new contact on the fly while composing a message, without leaving the compose screen.
Or import a list
Use Import to bring in an existing list from a CSV file — see Importing from CSV below.
Custom Roles
Every contact can carry a role that describes how they relate to your work. Alongside the built-in roles, your organization can define its own custom roles to match the way you actually categorize the people you work with. You can:
- Create a custom role for your organization.
- Rename a role as your terminology evolves.
- Retire a role you no longer use.
Custom roles are shared across your organization, so everyone categorizes contacts the same way, and you can filter the directory by role to find the right group quickly.
Importing from CSV
The import brings a spreadsheet of contacts in through a guided wizard, with clear reporting on any rows that need attention so a messy file never fails silently:
Upload your file
Start from a CSV. A template is available so your columns line up with the fields TrueGrade expects.
Map your columns
Match the columns in your file to contact fields.
Set a default role
Choose a default role to apply to the imported contacts, which you can adjust per row.
Review before importing
The wizard flags each row as new, a likely duplicate of an existing contact, or an error that needs fixing. From the review step you can:
- Fix a row inline without going back to your spreadsheet.
- Include or exclude individual rows.
- Choose how duplicates are handled so you don’t create two copies of the same contact.
- Filter to just the problem rows, and export them, so you can correct a large file efficiently.
Only rows that pass validation are imported. Rows with errors are surfaced for you to fix or skip — nothing broken is imported silently.
Keeping the Directory Clean
Contacts can be tidied up much like messages, and removals are reversible:
- Remove a contact — soft-delete a single contact from the active directory.
- Remove or deactivate several at once — select multiple contacts and remove or deactivate them in one action.
- Switch to the Removed view — toggle between Active and Removed contacts.
- Restore a contact — from the Removed view, bring a contact back; the reason it was removed is shown.
