TrueGrade’s compliance module centralizes the collection, verification, and ongoing monitoring of subcontractor documents. For general contractors working with multiple subs on passive house and high-performance projects, keeping certificates of insurance, W-9s, and trade licenses current is both a contractual and risk management requirement.

How It Works

  1. You add a subcontractor to a project
  2. TrueGrade sends them a magic-link invitation to a self-service upload portal — no account required
  3. The subcontractor uploads their documents through the portal
  4. Your team reviews and verifies each submission
  5. TrueGrade monitors expiration dates and fires alerts before documents lapse

Subcontractors never need to create a TrueGrade account. The magic-link portal is accessible from any browser and is branded with your organization name.

Document Types Tracked

  • Certificate of Insurance (COI) — general liability, workers’ compensation, umbrella
  • W-9 — required for 1099 reporting
  • Trade License — state contractor license, specialty trade certifications
  • Subcontract Agreement — executed contract document
  • Safety Plan — OSHA or project-specific safety program
