Compliance Requirements

A compliance requirement is a document you require a subcontractor to have on file — a Certificate of Insurance, a W-9, a business license, a safety certification, and so on. Defining your requirements once tells TrueGrade what to collect, what to verify, and what to alert on for every subcontractor and project.

Requirements are configured under Settings → Compliance Requirements. Only Admin and Platform Admin roles can change them.

Anatomy of a Requirement

Each requirement you define has:

Default vs. Project-Specific Requirements

Set an organization-wide baseline that applies to every subcontractor, then add stricter requirements on individual projects. For example, a project with an owner-mandated $2M liability minimum can carry that higher requirement without changing your default for other jobs.

Once a requirement is defined, TrueGrade automatically requests the document through the Subcontractor Portal, routes submissions to the Verification Workflow, and monitors expiry through Expiration Alerts. You define the rule once; the rest is automatic.

Who Uses This

Requirements are usually set up by an Admin or Project Manager at the start of a relationship or project. Field and accounting staff then see each subcontractor’s compliance status without having to know the underlying rules.

Getting Started

  1. Open Settings → Compliance Requirements
  2. Add each document type your organization requires
  3. Set whether it expires and any coverage minimums
  4. Choose whether a missing document blocks assignment or payment
  5. Save — TrueGrade begins requesting and tracking the documents immediately
